Learn how to use the TomFit Maintenance Dashboard

Welcome to the TomFit Maintenance Dashboard. This tool provides real-time tracking of all maintenance tickets from the SharePoint list, statistics & trends, and QR-code-based issue reporting for each TomBot machine. Below is a guide to every feature.

The top bar shows live counts for Total, Open, In Progress, Resolved, and Critical tickets. Click any stat card to instantly filter the ticket list to that category.

Data syncs automatically every 30 seconds from the SharePoint list
The sync indicator in the header shows the last successful update time
New or updated tickets are briefly highlighted in the table

The tickets table shows all maintenance tickets with sortable columns. Click any ticket row to open a detailed view with description, attachments, images, and comments.

Click column headers to sort (ID, Title, Status, Priority, etc.)
The detail modal shows attached images/videos and comment threads
Comments display with author name, date/time, and message

Use the toolbar filters to narrow down tickets by status, priority, location, or issue type. The search box filters across all fields including title, description, reporter, and serial number.

Status: Open, In Progress, Resolved, Closed
Priority: Critical, High, Medium, Low
Issue Type: Hardware, Hub, Software, Software - TomConnect, Software - Tomly
Location: All hub locations are auto-populated from data

The Statistics tab provides visual analytics with interactive charts and KPIs. Use the issue type pills (All, Hardware, Software, Hub, Admin) to instantly filter all charts.

KPIs: Avg. resolution time, resolution rate, new this month, oldest open ticket
Comment KPIs: Avg. first response, most active commenter, fastest responder, total comments
Charts: Tickets over time, status breakdown, by location, monthly opened vs resolved, by issue type, monthly by issue type, top reporters, top commenters
Filter by time range (7/30/90 days or all time) and location

The Calendar tab lets service managers schedule and track hub visits. Select a location to filter, and click any day to quickly add a visit.

Each TomBot machine has a unique QR code. When scanned with a smartphone, it opens the issue report form with the machine's serial number and hub location pre-filled.

QR Codes tab: View and print QR codes for all machines
Edit Machines: Opens the full QR editor to add/remove machines
Print All: Prints all QR codes in a 3-column layout for cutting and placing on machines
QR codes use the TomFit branding (green corners, logo in center)

The issue report form (form.html) is a mobile-optimized page that lets hub staff report problems directly from their phone. It submits to the same SharePoint list that feeds this dashboard.

The Notifications tab allows hub managers and technicians to configure how they want to be contacted when ticket activity occurs.

Assign people to one or more hub locations with a specific role (Hub Manager, Technician, Admin)
Choose a preferred notification channel: Email, Microsoft Teams, or WhatsApp
Select which events trigger notifications: new comments, status changes, or new tickets
View at a glance which managers and technicians are responsible for each location
Edit or remove people at any time; preferences are saved locally

This section documents the core system rules and dependencies used across the dashboard and reporting form.

Roles: Users are managed as Admin or Viewer. Bootstrap admin+ identities are hardcoded and forced to admin.
QR permissions: Only admins can edit machine lists and generate QR codes; viewers can only view and print.
In Charge allow-list: Only users marked as In Charge assignees in Access Control can be selected in the form.
In Charge assignment rules: Assignees can be mapped by location + issue type (with optional "All locations" / "All issue types" fallbacks).
Form auto-fill logic: The report form auto-selects In Charge based on selected location and issue type.
Conditional required rule: If no matching In Charge assignment exists for the selected context, the field is not mandatory.
Authentication dependency: Microsoft MSAL is used for sign-in and token handling.
Data/API dependency: Ticket data comes from SharePoint via Microsoft Graph API (v1.0 + beta) and SharePoint REST fallbacks where needed.
Permissions scope: Read and write operations depend on granted Graph/SharePoint permissions (including Sites.ReadWrite.All for form/ticket updates).
Storage note: Role/notification/assignment settings are currently stored in browser localStorage and are device/browser-specific.

Toggle between dark and light themes using the sun/moon icon in the header. Your preference is saved and persists across sessions.

The dashboard polls the SharePoint list every 30 seconds for changes. You can also click the Refresh button at any time for an immediate update. All data comes from the Microsoft Teams / SharePoint list via the Graph API.
